2008 President's Annual Report — From The Presidents Corner

SOITC 2008 Annual Meeting Report to the Membership

May 9, 2008

Since last reporting to you a year ago at our 2007 gathering, your SOITC elected Board continues to maintain compliance with US Federal IRS regulatory financial reporting submissions and the Indiana Secretary of State agency operational requirement as a officially recognized non – profit corporation. Our liability insurance coverage remains in place for all SOITC formally planned and posted activities.

At the last annual report presentation, the SOITC membership activity was at 110 RV units, at year end (2007) we achieved approximately 210 RV units and 110 renewals were due this past Jan. We currently have 186 RV (368 individuals) units in good standing as members of SOITC. This is our third rally, and now being two years old, we have grown from 59 initial RV units to our present count, which is a 200% growth. As members, please continue to spread the word about our club, its internet website and seek support from Doubletree RV dealers and other after market RV product sources.

We are now branching out to conduct our, first ever, East and Central Regional rallies being organized by Betty Johnson, Jim Bray and Linda Webb. Our Western region conducted three monthly luncheons in Casa Grande AZ thanks to the planning and efforts of Gail & Stacy Frank. We look forward to continuing those winter luncheons in the Casa Grande region as well as expanding these type of gatherings into the Mesa – Apache Junction AZ areas during the 2008 – 09 winter time frame. Watch our club website for future information of all the previously stated events.

Our future Annual rally locations continue to be formalized and are as follows:

  1. 2009, in June, Elkhart Fair Grounds, Goshen IN
  2. 2010, in May – will attempt to reschedule to June, Garden of the Gods, Colorado Springs CO
  3. 2011, probably June, in Tennessee, The Board’s goal is to have this location formally finalized by Oct of 2008
  4. 2012, in June, Wildwood Golf & RV Resort, McGregor ON, Canada (We thank Bob Stephens & Barb Tiessen for their assistance in finding this location)

Our Canadian members are also planning mini rally gatherings whose dates and locations are posted on our club website. We continue to have chapters forming in different states. We also need State and Province coordinators for all our regional areas, and was discussed at your regional meeting prior this report presentation.

As we continue to grow, the Board will implement constructive and cost effective processes associated with the following projects. They are:

  1. Improving our Club website for easier use and providing more RV related info. Also clean up the website disruption that occurred when we lost our original server support and had to transfer to another provider.
  2. Implementing an electronic payment (secure) system or financial payment for dues, rally fees.
  3. Improve the SOITC Forum subject topics, which improves the exchange of information processes.
  4. Revising our club membership card design and develop a online info package and instructions for our members too download, in-turn providing that documentation to a potential club sponsor.
  5. Obtaining additional benefits from professional businesses that offer special Club pricing for SOITC members. We have now have in place with Farm & City Insurance Services, per their RV product manufacturer insurance program, Club members savings on RV insurance coverage, as well as insurance needs they manage. Also the DT Dealers that are currently listed on the Club Sponsors webpage provide incentive discounts for SOITC members.

In closing, your SOITC BOARD, continues to research, plan, review and proactively seek ways to enhance the capabilities of the Club and gain benefits for members of the Club thus insuring continued growth of the SOITC organization.
